Prior to the creation of the product file several system settings must be defined within the Back Office application. Information relating to your stock would be better planned before attempting to build your product file, see below for details.
To start the set up of the software you must login to the software with the username and password provided then click once on the setup then the settings icon from within the Main menu. Information used to prepare the product file and business settings are as follows:
Product Settings are:
Suppliers – Products must have a supplier, this aids the ordering of products and used for reporting analysis, simply enter your suppliers’ details.
Colours – Allow you to maintain & report on products by colour, they act as part of the fashion matrix for further analysis, we suggest that you enter a wide variety of shades as well as the entry of common base colours.
Seasons – Allow you to maintain & report on products by season, grouping products into seasons provide for further reporting analysis for stock & sales i.e. SS18 & AW19
Categories – These are the top-most level of hierarchy of product classification, i.e. Clothing, Accessories and Footwear, etc it would be better if you plan the product grouping prior to adding them to the system.
Departments – These are the second level classifications that branch down from the categories i.e. from Category = Clothing you could find dresses, Tops, Polo’s, shirts, Jeans, knitwear, etc as departments again for reporting analysis.
Sub-Departments – These are the third level of classification, from the above examples you might find Category = Clothing, Department = Dresses, a subDepartments could be maxi, backless or strapless etc (this level is not mandatory). NOTE: If you just sell ladies clothing and only a small amount of footwear / accessories you can make the categories departments instead so category could be dresses with departments as maxi, backless or strapless with footwear / accessories.
Brand Labels – if these are defined then extra analysis would be available for sales, marketing and supplier analysis, i.e. Diesel, Firetrap, FCUK, Duck & Cover etc
Sizes – These are defined in scales, each size scale can accommodate up to 99 diffrerent size’s within the scale i.e. Tops range from XS – XXL, which equals 6 sizes or a dress sizing might range from 8,10,12 & 14, you can have as many size scales as you need bearing in mind you will need different size scales for the type of garment or shoe but generic scales can be used more than once
